Institute-wise Tariff / Charges
The following table shows the current booking charges (per day) for each institute and category of user. Actual rates are subject to revision by competent Railway authority.

Terms & Conditions
Please read the following terms & conditions carefully before submitting a booking request through the Nagpur Railway Institute Booking Portal.
1. Application of Rules
All bookings are subject to the rules and instructions issued by competent Railway authorities from time to time. Submission of a booking request through this portal shall be treated as acceptance of these rules by the user.
2. Eligibility & Booking Category
- Railway employees who are members of the Institute shall book under the Member category.
- Railway employees who are not members shall book under the Non-Member Railway category.
- Others (non-railway persons / organisations) shall book under the Non-Railway category.
- Mis-declaration of category may lead to cancellation of booking and forfeiture of charges as per rules.
- The railway pass rule will apply to railway employees and members.
- The above facility will be available only after completion of 6 months membership.
3. Booking Period & Advance
- Booking shall normally be permitted up to the maximum period allowed by the system (e.g. 90 days in advance).
- Minimum booking period is generally one day, unless otherwise notified.
- Requests for extension / change of date shall be subject to availability and approval of competent authority.
4. Payment & Confirmation
- Provisional booking generated through the portal is subject to verification and approval by the Institute authorities.
- Payment of prescribed charges within the stipulated time is mandatory for confirmation of booking.
- Payment method (Cheque / Online / Cash at office) shall be as per local instructions.
- Failure to pay within the notified time may lead to automatic cancellation of booking.
5. Use of Premises
- The premises shall be used only for the purpose mentioned in the booking request.
- Users shall be responsible for proper decorum, safety, cleanliness and discipline.
- Damage, if any, to Railway property shall be recoverable from the user as per assessment.
6. Cancellation / Postponement
- Cancellation / change of date shall be governed by the rules in force.
- The Institute / Railway administration may cancel a booking in exceptional circumstances (official requirement, safety, maintenance etc.). In such cases, efforts will be made to inform the user in advance.

Time Slots
- Booking of SBA shall be made in time stols of 12 hours.
- Time slot from 0600 hrs to 1700 hrs at TS-1
- Time slot from 1800 hrs to 0500 hrs at TS-2
- One hour at the end of each slot is for cleaning purpose.
- When two slots are booked together, cleaning time can be at the end of second slot.
- For functions like marriages and reception etc. more time is required in preparation of meals, dismantling/erection of decorations, change of stage settings etc. Single slot is not sufficient to complete such function and vacate the Hall. Therefore minimum two slots (either starting from TS1+TS2 or TS2+TS1) according to convenient is required to be booked for marriage or reception ceremony or any such big functions.
- Single slot booking (either TS-1 or TS-2) can be made only for short and small functions like Felicitation, Award functions, official functions meeting, birthday functions etc. which do not required much decorations.
Tariff
- Electric charges will be deducted based on actual consumption as per meter reading for which purpose amount B1(+B2) be deposited as advance at the time of booking. Electric charges in excess of deposit B1+B2 will have to be paid by user before vacation of Hall. If consumption is for less than B1(+B2), balance amount will be refunded.
- Cleaning Charges as at C1(+C2) to be deposited at the time of booking.
- Party has to make arrangement of water at his own cost.
- All the charges as in above Table of Charges shall only be accepted through crossed Demand Draft / Banker’s Cheque payable to “MANAGING COMMITTEE COMMUNITY HALL, AJNI, C. RLY NGP”
- Booking can be done 90 days in advance (excluding date of first time slot to be booked)
- Above rates are subject to revision by Managing Committee from time to time. User shall be required to pay Govt. Taxes and levies as may be applicable from time to time.
- When the Hall is required for more than one time slot as in TS1 or TS2, Advance Booking shall be made by paying full charges for the subsequent slots, subject to availablility.
- The retired railway employees will be governed by the same rules & conditions applicable to the serving railway employees, but such applications of retired railway employees should be countersigned by a serving railway employee with surety to accept the debit for any losses/damages of the equipments or fittings or structure of the community hall.
- The facility of concessional rates to Railway employees, will be given for marriages of their family member / dependents as declared / eligible on Railway Pass and the depot Incharge will verify from Pass/PTO declaration as to the correctness and certify and forward the application to Secretary & Sr.DPO. If the declaration is found to be false in regard to dependent at a later date the employee will be taken up under D&AR rules. If name of the dependent is not appearing in the declaration being over age, but was otherwise eligible for being included in the Pass/PTO will also be eligible for allotment of Community hall. Other than the Railway employees and their dependents as per Pass rules, will be treated as Non-Railway (NR)/Outsiders and rates applicable to NR/outsiders will be charged.
- electricity by MSEB. In this case the party has to make his own arrangement at his own cost.
Protection & use
- Decoration and illumination be arranged by allottees himself/herself without any permanent addition/alteration in the premises.
- Cooking arrangement is to be made only in the cooking area. Cooking shall not be done at dining area.
- Digging/Defacing of lawn and walls of Community Hall is strictly prohibited.
- Fire works strictly prohibited in the premises, inside and in the Lawn of Samudaik Bhavan.
- The user of Community Hall shall not apply colours or make writings or paste stickers, posters and banners on walls, windows or doors.
- Drinking of liquor or use of any other intoxicating substance, smoking, spitting inside, on walls or on verandah of Samudaik Bhavan is strictly prohibited.
- Orchestra (Music system) is strictly prohibited after 10.00 at night or as prescribed by the civil / Police authorities from time to time and sound of the same should be kept in such a way that nobody complaints.
- Complaints and suggestions, if any to be reported to Secretary of Community Hall i.e. Sr.DPO, C. Rly., Nagpur.
- President of the Management Committee of Community Hall can cancel the booking by giving 10 days advance notice without assigning any reason.
- The President i.e. ADRM has the absolute right to make out of turn allotment.
- The President or any other members of the managing committee shall have the right to inspect the premises even when functions are being held to check up the type of use to which they are being put to by the allottee.
- Railway shall not be responsible for any loss/damage to lives & properties or losses due to any reason whatsoever.
- User shall ensure parking of vehicles in such a way that the passage from main road to the Community Hall is not blocked.
- User shall not interfere with the Electrical fittings and installations of the Hall.
- User shall note down and confirm Electric Meter reading at the time of taking possession and vacation with Caretaker.
- User shall pay Electrical Charges as per commercial consumption tariff of MSEDCL or its successor.
- User shall vacate and remove all his belongings from the Community Hall at end of allotted time slot. If cleaning time is not availed in first slot of double slot booking, user shall vacate the premises two hours before the last booked Time Slot i.e. TS-1 or TS-2.
- Extension of vacation time shall not be permitted under any circumstances.
Advance Booking
- Advance Booking: Booking can be made maximum 90 days in advance.
Cancellation
- Before 15 days (excluding booked date) eg if booked date is 25th March, cancellation application received on 9th March shall be considered as 15 days in advance – refund of 50% of Rent (rounded off to nearest Rs.10).
- 15 days (excluding booked date) or less period, forfeiture of 100% charges. e.g if booked date is 25th March, cancellation application received on 10th March or thereafter shall be considered as 15 days or less.
- For the purpose, the date of actual presentation of cancellation application to the nominated staff dealing with Hall Booking upto 1800 hrs of the day be treated as date of cancellation application.
- Use of fire-Wood / coal is strictly Banned for cooking Purpose in Samudaik Bhavan.
- DJ Music & use of plastic disposable Cups, dishes, glass etc. is strictly prohibited in Community Hall. Violation of this term/rule will be fine Rs.1000/- (Rs.One Thousand Only), DAR action & action under IPC should be taken.
